Privacy Policy

We built KindredMind for a family we love. Your family's privacy is not a legal obligation we are trying to satisfy. It is something we take personally.

Who we are

KindredMind is a product of Strong Ventures Inc., a company incorporated in Canada. When this policy says "we," "us," or "our," it means Strong Ventures Inc. operating the KindredMind service at kindredmind.care.

What we collect and why

We collect only what we need to make KindredMind work for your family. Here is everything we collect and exactly why we collect it.

Your account information

When you create an account we collect your name and email address. We use this to identify your account, send you call summaries, and communicate with you about your service.

Your voice recordings

When you record prompts to build your voice model, those audio files are temporarily stored on our servers. Once your voice model has been successfully created and confirmed, the raw recording clips are deleted from our servers. Your voice model itself is maintained by a voice technology provider under contract and is governed by your explicit consent given during onboarding.

Advanced Training session recordings

Your voice model is built only from short interview sessions you complete with our setup specialist Sarah. Three sessions are part of onboarding, and you can optionally add more Advanced Training sessions any time from the Advanced Training tab in your dashboard.

These interview recordings are processed to refine your private voice model and then automatically deleted within 24 hours of your model being updated. They are stored encrypted using AES-256 while present, accessible only to your account, never used to train general AI models, and never shared with third parties beyond the processing providers listed below.

Real conversations between the companion and your loved one are never recorded for training. Not one word.

Your knowledge base

The information you enter about your loved one, their routines, family members, memories, and preferences, is stored encrypted on our servers. This information is used only to power conversations through KindredMind. It is never used for any other purpose.

This information is provided by the authorized family caregiver acting under their legal decision-making authority for the person with dementia. KindredMind collects this information solely for the purpose of enabling the companion to respond appropriately on calls from that specific person.

Call transcripts and summaries

Every call handled by KindredMind is transcribed. Transcripts are stored encrypted and automatically deleted after 90 days. Call summaries, the brief post-call notes, are retained indefinitely unless you delete them. Real conversations between the companion and your loved one are never recorded as audio and are never used to train your voice model.

Payment information

KindredMind subscriptions are billed through Stripe, Inc. When you subscribe, your payment is processed directly by Stripe. KindredMind does not store your credit card number, expiry date, or CVV on our servers. Stripe retains your payment method details in accordance with their own privacy policy (stripe.com/privacy). We receive only a payment confirmation token and basic billing information (last four digits, card type, billing country) sufficient to manage your subscription.

Usage data

We collect basic usage information, when you log in, which features you use, and call durations, to operate and improve the service. This data is not linked to your loved one's conversations.

Device and technical information

We collect standard technical information like your browser type, operating system, and IP address for security and service operation purposes.

What we never do

These are absolute commitments, not marketing language.

  • We never sell your data to anyone for any reason.
  • We never use your family's voice recordings, conversations, knowledge base, or personal information to train any general-purpose AI model.
  • We never share your data with advertisers.
  • We never share your data with third parties except the service providers listed below who help us operate KindredMind, and those providers are contractually prohibited from using your data for any purpose other than providing their service to us.

How we protect your data

Your knowledge base and call transcripts are encrypted at rest using AES-256 encryption. All data in transit is encrypted using TLS. We use industry-standard security practices and conduct regular security reviews.

Voice recordings and biometric data

When you record your voice during KindredMind onboarding, we treat your voice recordings as biometric information. Voice recordings may constitute biometric identifiers under applicable privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) in Canada, Quebec's Law 25, and several US state biometric statutes.

We collect your voice recordings only to build your Personalized Voice Clone (PVC), a model that allows KindredMind to speak to your loved one in a voice that resembles yours. We use voice technology providers under contract to perform the technical work of building this model. These providers are bound by data processing agreements that limit their use of your recordings to what KindredMind requests, and they may not use your recordings to train shared or general-purpose models.

We retain your voice recordings for as long as your account is active. If you delete your voice model, the underlying recordings are deleted within thirty days. We retain your signed consent record, including the exact text you agreed to, the date and time, your IP address, your user agent, and the email address on your account at the time, for compliance and audit purposes only.

Your voice model is used exclusively within your KindredMind account. It is not sold, licensed, shared with marketing platforms, used to train general-purpose voice models, or used in any product or feature outside KindredMind.

Your loved one's voice is never cloned or modeled. Only your voice, as the caregiver who consented, is used to build the companion.

Sub-processors

KindredMind uses third-party service providers (sub-processors) to deliver parts of our service, including voice synthesis, speech recognition, telephony, payments, email delivery, and hosting. Each sub-processor is bound by a data processing agreement that requires them to handle your personal information consistent with this Privacy Policy and applicable law.

For a current list of named sub-processors, please contact us at hello@kindredmind.care. We do not publish the full list on our public website because the list is operational rather than user-facing, but we will share it on request and will notify account holders in advance of material changes.

Your consent and how to withdraw it

Before we build your voice model, you give explicit consent through your KindredMind dashboard. The consent text is shown in full at the time of signing and is also reproduced on request. You may withdraw your consent at any time by pausing or deleting your voice model in the Voice tab of your dashboard. Withdrawal of consent ends our use of your voice for future calls and triggers deletion of the voice model within thirty days. The signed consent record itself is retained for compliance and audit purposes, including the exact text you agreed to, the date and time, your IP address, your user agent, and the email address on your account at the time of signing.

How long we keep your data

Call audioNever recorded or retained. Not one audio file is stored from companion calls.
Call transcriptsStored encrypted for 90 days by default (you can set a shorter period in Settings), then permanently deleted. Transcripts are used only to generate post-call summaries and are never shared or used for training.

When you close your account you can request permanent deletion of all data through your account settings. We will process this within 30 days.

Information about your loved one

KindredMind processes limited information about your loved one that the family caregiver chooses to provide. This is typically their preferred name, daily routine, close family and friends, and the kinds of stories and memories that make calls feel familiar. This information forms the knowledge base that shapes how the companion responds.

By providing information about your loved one, you represent that you are their primary family caregiver and that sharing this information is appropriate to your caregiving role.

KindredMind does not record, store, or retain the audio or verbatim transcripts of calls handled by the companion. Speech is processed in real time for the purpose of generating a response and a call summary, and is not saved.

KindredMind collects the minimum information necessary to help the companion provide comfort and appropriate responses. We do not collect your loved one's full legal name, date of birth, health card number, or any other identifying information beyond what is needed to make calls feel familiar and safe.

Caregivers can update or delete any information in the knowledge base at any time from their account settings.

Your rights

  • You have the right to access the data we hold about you.
  • You have the right to correct inaccurate data.
  • You have the right to export your data. Your knowledge base and call summaries can be exported from your account settings at any time.
  • You have the right to delete your data. You can delete everything permanently from your account settings.
  • You have the right to withdraw consent. You can close your account and request full deletion at any time.

If you are located in Canada your rights are governed by the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

If you are located in the United States your rights may vary by state. California residents have additional rights under the California Consumer Privacy Act (CCPA).

Cross-border data transfers

KindredMind is a Canadian-based company. However, some of the technology providers we use to operate the service store and process data in the United States. This includes our hosting infrastructure, database, object storage, AI language model processing, voice synthesis, call orchestration, transcription, and email delivery services.

By using KindredMind, you acknowledge that your personal information may be transferred to and processed in the United States, which has different privacy laws than Canada. We have data processing agreements in place with our service providers that require them to protect your information and prohibit them from using it for their own purposes. We do not transfer your data outside of Canada and the United States.

Cookies

We use cookies to keep you logged in and to remember your preferences. We do not use tracking cookies or advertising cookies. You can disable cookies in your browser settings but some features of KindredMind may not work correctly without them.

Children

KindredMind is not directed at children under the age of 18 and we do not knowingly collect personal information from children.

Changes to this policy

If we make material changes to this policy we will notify you by email before the changes take effect. The date at the top of this page reflects when the policy was last updated.
